The workplace has changed. Many buildings haven’t.

Most buildings are running 2019 processes in a 2026 workplace.

Deliveries pile up at reception. Visitors wait to be signed in by hand. Staff spend time chasing parcels that should have been tracked automatically. Meeting rooms sit empty while facilities teams lack the data to prove it. These are not minor inconveniences, they are operational inefficiencies with a measurable cost in staff time, security risk, and building performance.

A more complex workplace demands a smarter operating model

The workplace has changed significantly. Global office utilisation has risen to 56%, with 70% of employees now attending three to five days per week but attendance is uneven, variable, and harder to manage than ever before. The organisations handling this well are not doing it through better policies. They are doing it through better technology.

What the evidence shows

ExPD’s new Workplace Efficiency Report examines five technology categories where the public evidence for measurable efficiency gains is strongest: occupancy analytics and space reservation, visitor and contractor management, digital mailroom and parcel tracking, smart lockers and self-service storage, and occupancy-based building controls.

The findings are grounded in data from JLL, the ONS, CIPD, Envoy, Schneider Electric, and peer-reviewed research, not vendor claims.

Among the highlights: 96% of visitor management customers report time savings; smart lockers reduced employee onboarding cycle time by 80% in one documented case; and occupancy-based room controls delivered a 22% reduction in meeting-room energy use and carbon emissions.

The connected advantage

The report also makes the case that the greatest efficiency gains come not from any single technology, but from connecting them so that space data, visitor workflows, parcel tracking, storage, and building controls work together as one operating model rather than as isolated purchases.
